A. create a planning, organizing, directing, controlling (PODC) HIPAA training model
by doing the following:
1. Describe how you would teach the hospital employees the rules and regulations
regarding HIPAA.
My plan will require mandatory training to be provided for all hospital staff including
vendors. The training will focus on the policies and procedures established by the
hospital to ensure the safety and security of sensitive patient information in
compliance with HIPAA.
A training schedule will be implemented in a way that will help alleviate an
interruption in the daily operations of the hospital while providing staff with very
important training. The mandatory training sessions will be conducted Monday
through Friday and will be four hours blocks, 8 a.m. until 12 p.m. and 1pm until 5
p.m. Staff from various departments will be represented in each session with a
maximum of 25 people in each session. There will be 10 sessions offered and more
will be added if deemed necessary. The lecture hall will be the designated area for this
training due to the need for access to audiovisual equipment such as overhead
projector, laptop, PA system, as well as adequate seating for the participants. A budget
will be allotted to provide drinks and snacks for both sessions on each day since the
participants will be required to attend in four-hour blocks.
The Health Information Management Director and his appointed staff will be
responsible for conducting the training sessions to the hospital staff and vendors. The
agenda will consist of defining what PHI and HIPAA are as well as what is
considered PHI. The rules and regulations regarding HIPAA, the importance of
adhering to the laws will be discussed in detail. Policies and procedures implemented
by the hospital regarding PHI and HIPAA as well as legal penalties the hospital may
endure due to non-compliance will be addressed. The agenda will also include an
extensive subtopic dedicated to the responsibility and consequences of noncompliance by employees and vendors.
At the completion of each subtopic, interactive activities including quizzes, crossword
puzzles, and matching games will be conducted to test the participants knowledge. At
the completion of the course, a written examination consisting of 20 questions
compiled from the information provided, will be administered. Each participant must
have a passing score of 80% or better to successfully complete the training. If this is
not accomplished, the participant must repeat the course through the hospital’s online
education system within two weeks of the original exam. Failure to do so will result
in the participant being ineligible for work until this is completed successfully.
The training will be performed annually on the hire date of the employee as part of
their mandatory annual training and performance evaluation. HIPAA training will be
included in the orientation process for all new employees and a signed
acknowledgement will be inserted in the employee handbook that must be signed and
